Overview

The Partner Demographics Report provides insights into the composition of your partner database. Analyze gender distribution, marital status, Rhema affiliation, and geographic spread to better understand your partner community and plan targeted outreach.

What Data Is Shown

This report displays five key demographic dimensions:

Gender Distribution

Visualization: Pie Chart

Shows the percentage breakdown of partners by gender:

  • Male
  • Female
  • Other/Prefer not to say

Use Case: Plan gender-specific events or communication strategies.

Marital Status Breakdown

Visualization: Donut Chart

Displays the distribution of marital status:

  • Single
  • Married
  • Divorced
  • Widowed
  • Other

Use Case: Tailor family-oriented programs or singles ministry outreach.

Rhema Status Distribution

Visualization: Bar Chart

  • Rhema Students - Currently enrolled
  • Rhema Alumni - Graduated students
  • Others - Non-Rhema affiliated partners

Use Case: Identify alumni engagement opportunities or student support programs.

Geographic Distribution (Top Cities/States)

Visualization: Horizontal Bar Chart

Ranks the top 10 cities or states with the most partners.

Use Case: Plan regional events, establish new campuses, or allocate resources by location.

Geographic Hierarchy

Visualization: Treemap (if implemented)

Shows hierarchical view: Country → State → City with proportional sizes based on partner count.

Use Case: Visual representation of geographic concentration.

How to Use Filters

Date Range Selection

Filter partners by when they joined:

  • Today - Partners added today
  • Last 7 Days - Recent additions
  • Last 30 Days - This month's growth
  • This Month - Current month
  • This Quarter - Current quarter
  • This Year - Year-to-date additions
  • Custom Range - Select specific start and end dates

Use date range filters to see demographic shifts over time. Compare "This Year" to "Last Year" to identify changing patterns.

Campus Filter

Select one or more campuses to view demographics for:

  • Specific campus analysis
  • Multi-campus comparison
  • All campuses combined

Status Filter

Include or exclude partners by status:

  • Active only (default)
  • Include inactive
  • Include suspended
  • Include pending

By default, only active partners are included. Enable "Include inactive" to see historical demographics.

Understanding the Charts

Reading the Pie Chart (Gender)

  • Hover over segments to see exact counts and percentages
  • Color coding distinguishes each category
  • Percentages show proportion of total

Example: "Male: 450 (55%)" means 450 male partners out of 818 total (55%).

Reading the Donut Chart (Marital Status)

  • Center displays total partner count
  • Segments sized proportionally to each status
  • Tooltips show detailed breakdowns

Example: Center shows "818 Partners", hovering on "Married" shows "320 (39%)".

Reading the Bar Chart (Rhema Status)

  • Vertical bars represent each category
  • Height indicates partner count
  • Labels show exact numbers

Example: "Rhema Students: 250, Alumni: 400, Others: 168"

Reading the Horizontal Bar Chart (Top Locations)

  • Bars ranked from highest to lowest
  • Length indicates partner count
  • Labels show city/state name and count

Example: "Lagos: 250 partners" is the longest bar at the top.

Best Practices

Regular Reviews

Quarterly: Review demographic trends to identify shifts in partner composition.

After Major Events: Check demographic changes following large recruitment events or campaigns.

Annually: Conduct comprehensive demographic analysis for strategic planning.

Data-Driven Decisions

  1. Identify Gaps: Look for underrepresented demographics
  2. Set Goals: Establish diversity and inclusion targets
  3. Measure Progress: Track changes quarter-over-quarter
  4. Adjust Strategy: Refine outreach based on demographic insights

Combining with Other Reports

  • Partner Status Report: Compare active vs inactive demographics
  • Sourcing Analysis: Identify which sources bring diverse partners
  • Campus Performance: Analyze demographic differences by campus
  • Donation Summary: Correlate demographics with giving patterns

Accurate Data Entry

Demographics are only as accurate as the data entered. Ensure partner records are complete and up-to-date for reliable insights.

Tips:

  • Encourage partners to complete profile information
  • Run data quality reports to find missing demographic fields
  • Update records during regular partner communication

Troubleshooting

Charts Show No Data

Possible Causes:

  • No partners match current filters
  • Selected date range is too narrow
  • Selected campus has no partners

Solutions:

  1. Remove all filters and try again
  2. Expand date range to "All Time"
  3. Check if partners exist in selected campus

Unexpected Demographics

Possible Causes:

  • Data entry errors
  • Outdated records
  • Missing information

Solutions:

  1. Export data to Excel for manual review
  2. Check specific partner records for accuracy
  3. Run data quality report to identify incomplete profiles

Export Takes Too Long

Possible Causes:

  • Large dataset (thousands of partners)
  • Complex filters applied

Solutions:

  1. Use CSV export instead of Excel for large datasets
  2. Apply filters to reduce dataset size
  3. Export by campus instead of all at once

Next Steps

  1. Review Current Demographics: Open the report and review all charts
  2. Identify Patterns: Note dominant categories and underrepresented groups
  3. Set Benchmarks: Establish demographic goals for your organization
  4. Plan Outreach: Design targeted campaigns to reach specific demographics
  5. Monitor Changes: Schedule quarterly reviews to track demographic shifts
