Managing Partners
How to add, edit, and manage individual and corporate partners
Overview
The Partners module allows you to manage relationships with both individual partners (people) and corporate partners (organizations). This guide walks you through all aspects of partner management.
Partner Types
Individual Partners
These are individual people who partner with your ministry. You'll track their personal information, contact details, and relationship with the ministry.
Corporate Partners
These are companies or organizations that partner with your ministry. You'll track the company details and a primary contact person.
Adding a New Partner
Step 1: Choose Partner Type
When creating a new partner, you'll first need to select the partner type:
- Click the "Create New Partner" or "Add Partner" button
- Select either:
- Individual Partner - for a person
- Corporate Partner - for an organization
Choose the type carefully as it determines which information fields you'll need to fill out.
Step 2: Fill in Required Information
For Individual Partners
Personal Information (Required):
- Title: Mr, Mrs, Miss, Dr, Prof, Rev, Pastor
- First Name* (Required)
- Last Name* (Required)
- Middle Name (Optional)
- Gender: Male, Female, Unknown
- Marital Status: Single, Married, Divorced, Widowed, Other
Contact Information:
- Email Address - Partner's email
- Phone Number - Contact phone number
- Address - Street address
- City - City name
- State - State/Province
- Country - Country name
For Corporate Partners
Company Information (Required):
- Company Name* (Required) - Official name of the organization
Primary Contact Person:
- Title: Mr, Mrs, Miss, Dr
- First Name - Contact person's first name
- Last Name - Contact person's last name
Contact Information: Same as individual partners (email, phone, address, city, state, country)
Step 3: Ministry & Status Information
These fields apply to both individual and corporate partners:
RHEMA Status:
- Student - Currently enrolled at RHEMA
- Alumnus - Former RHEMA student
- Others - Other relationship type
Partner Status:
- Active - Currently engaged with ministry
- Inactive - No recent engagement
- Pending - Awaiting approval or activation
- Suspended - Temporarily on hold
Step 4: Sourcing Information
Track how and where this partner joined your ministry:
- Nearest Campus - Select the campus closest to the partner
- Sourcing Type - How the partner was sourced (e.g., referral, event, etc.)
- Event of Sign Up - The event where they joined
- Event Edition of Sign Up - Specific edition/year of that event
The Event Edition dropdown will only show editions related to the Event you selected. Choose the Event first.
Step 5: Additional Information
Notes: Add any additional notes, comments, or important information about this partner. This is a free-text field for any details that don't fit elsewhere.
Step 6: Save the Partner
Click "Create Partner" to save the new partner record.
Review all information before saving. You can edit it later, but it's best to be accurate from the start.
Viewing Partners
Partners Table
The main partners page displays all partners in a searchable, sortable table with:
- Partner Name/Company - Individual name or company name
- Partner Type - Individual or Corporate badge
- Contact Info - Email and phone number
- Status - Current partner status (Active, Inactive, etc.)
- Location - City and state
- Actions - View, Edit, Delete buttons
Searching Partners
Use the search box at the top of the table to find partners by:
- Name
- Company name
- Phone number
- City
Filtering Partners
Click the Filter button to open advanced filters:
- Filter by Partner Type (Individual/Corporate)
- Filter by Status (Active, Inactive, etc.)
- Filter by RHEMA Status
- Filter by Campus
- Filter by Event
- Filter by Sourcing Type
You can combine multiple filters to narrow down your search. For example, filter for "Active Individual Partners from Lagos Campus."
Viewing Partner Details
Click the View (eye icon) button on any partner row to see:
- All partner information in a read-only format
- Personal/company details
- Complete contact information
- Ministry status and sourcing details
- Notes and additional information
Editing Partners
How to Edit
- Find the partner in the table
- Click the Edit (pencil icon) button
- Update any fields that need changes
- Click "Update Partner" to save
What You Can Edit
All partner information can be edited except:
- The partner's unique ID (system-generated)
Be careful when changing partner type from Individual to Corporate or vice versa. This may cause data loss if not done properly. It's better to create a new partner record.
Deleting Partners
How to Delete
- Find the partner in the table
- Click the Delete (trash icon) button
- Confirm the deletion in the dialog
Deleting a partner is permanent and cannot be undone. All associated call history and scheduled calls will also be affected. Consider marking the partner as "Inactive" instead of deleting.

Data Entry Tips

Use Consistent Formatting:
- Phone numbers: Use a consistent format (e.g., +234 123 456 7890)
- Names: Use proper capitalization

Complete Required Fields:
- Always fill in required fields marked with an asterisk (*)
- Provide as much information as possible for better tracking

Keep Information Updated:
- Update contact information when partners move or change numbers
- Update status when engagement level changes

Use Notes Effectively:
- Record important context about the partner
- Note preferences (best time to call, communication preferences)
- Track special circumstances or important dates

Use Sourcing Information:
- Always record the event and campus information
- This helps with analytics and follow-up campaigns

Maintain Accurate Status:
- Update partner status regularly
- Use "Pending" for new partners awaiting first contact
- Use "Inactive" instead of deleting old partners

Regular Data Cleanup:
- Periodically review and update partner information
- Verify contact details are still valid
- Archive or mark inactive partners who haven't engaged recently
Common Questions
Q: Can I convert an individual partner to a corporate partner?
A: It's not recommended to change the partner type after creation. Instead, create a new corporate partner record and mark the old individual record as inactive if needed.
Q: What's the difference between "Inactive" and "Suspended"?
A: "Inactive" means the partner hasn't engaged recently but could be re-engaged. "Suspended" means there's a specific reason the partnership is on hold (e.g., requested no contact).
Q: How do I handle partners with multiple phone numbers?
A: Currently, you can enter multiple phone numbers in the Phone Number field separated by commas. Use the Notes field to clarify which number is primary or preferred.
Q: Can I import partners from a spreadsheet?
A: Contact your system administrator for bulk import options.
